Information we collect
Provider registration and submissions can include names, email addresses, account credentials, profile details, course information, booking links and uploaded materials. We also receive information in email enquiries and advertising correspondence. Our hosting and security services process technical information such as IP addresses, browser information and request logs.
Purposes and lawful bases
We use account, course and correspondence information to provide the directory, review submissions and respond to requests. Processing needed to provide an account or agreed advertising service is based on contract, including steps requested before a contract. Our legitimate interests include reviewing listing accuracy, answering general enquiries, maintaining the directory, preventing abuse and protecting website security. Accounting and other records required by law are processed to meet legal obligations. We will seek consent before introducing optional marketing that requires it; consent can be withdrawn.
Public listings and sources
Approved course descriptions, provider names, public contact details and provider profiles are publicly accessible. We may create listings from providers’ public websites to help visitors discover courses. Providers can contact us to correct or remove inaccurate information. Do not submit patient information, confidential medical records or material you are not entitled to publish.
Service providers and external websites
BookCPD uses WordPress and Directorist and is hosted by Hostinger. Hosting, backups, technical support and email service providers may process information as necessary to run these services. Pages currently load Google Fonts, which causes your browser to contact Google and disclose technical request information such as your IP address. Service providers may process information outside the UK; where UK data protection law requires safeguards, transfers must be covered by recognised adequacy arrangements or appropriate contractual safeguards. Bookings and course payments take place on the provider’s website. That provider is responsible for its own processing and privacy notice. BookCPD does not collect course booking payment details. Advertising enquiries and invoices are handled separately by email.
Cookies and website functions
WordPress uses essential cookies for signing in, session security and saving account preferences. Session cookies generally expire when the session ends; persistent login cookies can remain when you choose to stay signed in, until expiry or logout. You can clear cookies through your browser, although account functions may stop working. We have not configured an analytics or advertising tracking service as part of this build. Any optional tracking introduced later must be explained here and, where required, remain inactive until you consent.
Retention
We keep account and listing information while an account or listing is active and for any further period needed to resolve requests, maintain accurate records or address disputes. Rejected or expired submissions are reviewed for removal when they no longer serve these purposes. Correspondence is kept while an enquiry remains relevant and for any period needed to document an agreement or resolve a complaint. Invoice and accounting records are retained for applicable statutory requirements. Technical logs and backups are retained according to operational security, recovery needs and the hosting service’s retention arrangements. We consider the purpose, sensitivity, legal requirements and any outstanding dispute when deciding how long information is needed.
Your rights
Depending on the lawful basis and circumstances, you can request access, correction, erasure, restriction or portability, and object to processing based on legitimate interests. You can withdraw consent without affecting earlier lawful processing. Email our contact address to make a request. We may need to verify your identity. You can complain to the UK Information Commissioner’s Office.
Providing information
Account and submission details are needed to manage provider access and review courses. If required information is missing, we may be unable to create an account, publish a listing or provide an advertising service. We do not use these details for automated decisions with legal or similarly significant effects.
